How To Easily Keep Your Drawings Up To Date, And Remove The Hassles And Doubt Over Who Should Take Responsibility
A recent case in which we were involved really drives home the importance of keeping up to date drawings and managing them responsibly and effectively. After being called to a site to assess and review their current site drawings management system, one of the issues highlighted was the lack of comprehensive site drainage drawings.
It was arranged for drainage survey to be undertaken and it quickly became evident that the site was in serious breach of current environmental legislation. Recommendations were given and immediately acted upon to rectify and prevent further environmental damage. If this had not been highlighted and addressed, the consequences could have been disastrous for the company.
By identifying the problems, from that initial assessment, the business avoided receiving a huge fine. Avoided being stopped from trading until the environmental damage had been corrected, and the directors avoided being held personally liable for the breach with the added worry of a possible jail sentence.
Could you be in this position and be completely unaware of it? You may want to ask yourself the following questions;
Do your drawings stand up to scrutiny? If you were asked to present your drawings to senior management right now for business expansion, could you 100% guarantee their accuracy and would they be representative of your current site status? An essential ingredient in effective site services management is to keep your drawings current. Outdated drawings lack key information and will lead to costly errors in planning.
What information would you expect to see on your drawings? Sparse drawings will not convey all the information you need to make important decisions in the effective functioning of your site. Too much detail is always better then too little.
Can vital information be retrieved quickly and easily from your drawings? A well adapted, user friendly drawings structure will extend user participation to include those with even the most basic CAD knowledge.
Do all of your drawings represent the current status of your site? If not, when were they last updated? Your drawings should be updated on a monthly basis to keep them current and effective. If they have not been updated during the last three months, the chances are you will be missing vital information about your site.
Do you have all of your site services information captured on drawings? Site services involves maintaining a complex system of resources that allows your site to function at full capacity. To maintain this equilibrium, you need to ensure that every piece of information within this complex structure is recorded and present within your drawings system.
Are you responsible for managing and updating your drawings? Devote a set amount of days per month, to keeping your site drawings up to date. Ask various departments to highlight any layout changes that have been made onto a drawing. Make this a regular exercise so that it becomes embedded into your site culture. You will reap the dividends.
Peace of mind, not out of time.
So, are you ready to enter a brave, new, efficient and structured world where all of your drawings are up to date and all of your information is readily and easily accessible? A world where you can be confident that there are no unwelcome surprises hiding within your drawings.

"DDC Engineering Solutions have been working alongside the Site Services Department for a number of years. In this time they have carried out full site surveys and produced drawings showing service distributions, plant layouts and general HS&E drawings. All drawings works were carried out from DDC Engineering Solutions offices. The work was done accurately, to the agreed timescales and to the fixed agreed costs. Their engineers worked alongside my works engineers and HS&E personnel, professionally and courteously. I am happy to recommend DDC for similar works."
